Administration

The Administration Team is a non-operational but nevertheless
vital part of the GWSR. It provides a single point of contact for
anyone wanting to get in touch with the railway. A member of the
team attends at the Toddington office and carries out general
office duties there on most days of the week throughout the year
whether or not the railway is operating. Office hours are 10.00
a.m. to 4.00 p.m. Mondays to Fridays and 9.00 a.m. to 1.00 p.m.
Saturdays and Sundays. Tasks dealt with include answering phone
calls and telephone messages, responding to emails, taking
bookings, dealing with the post and assisting visitors to the
office (whether members or non-members). Other team members attend
the office as necessary to undertake specialist roles such as
printing tickets for on-line bookings, issue of shares,
distribution of shareholder information and special events
leaflets, and other clerical and administration tasks.
Staffing is effected by a roster which is prepared approximately
one month in advance, with Team members being asked to volunteer
for shifts. Once the roster is published, volunteers
are expected to commit to the days they have agreed.
The Administration Team members are often the first contact that
incoming callers have with the railway. Callers will include
members of the general public, people wishing to make donations or
purchase shares, members, suppliers and contractors.
Maintaining a friendly and helpful manner and "making a good
impression" are vital aspects of the job.
This role suits people with good communication skills, with a
willingness to work alone. A basic knowledge of
computers and email systems are an advantage, although adequate
training will be given to new recruits. New team
members are expected to gain an understanding of the railway's
timetable, fares, on-line booking system and fundraising needs, and
the broad operational and managerial responsibilities of other
members of the railway.
